Most people's entire AI experience is typing one vague question, getting a generic answer, and concluding it's overrated. The difference between that and the people saving ten hours a week isn't a paid subscription — it's technique. Here's the practical version, workflows included.
The one skill: context in, quality out
AI output quality tracks input quality almost perfectly. "Write a proposal" produces filler. "Write a one-page proposal for a Nakuru school that needs a website; they mentioned budget concerns; our price is 60K; formal but warm tone; here are our three past school projects..." produces something you can nearly send. The habit: give it the role, the audience, the facts, and an example of what good looks like.
Five workflows worth stealing
- The draft partner — never start any document blank: quotes, tender responses, job ads, difficult WhatsApp replies. AI writes draft one; you edit for truth and tone.
- The summariser — paste a long contract, tender document or email thread and ask for obligations, deadlines and risks in bullet points
- The translator of tone — "make this firmer without being rude", "make this simpler for a customer", "turn these rough notes into minutes"
- The thinking partner — describe a decision and ask it to argue both sides, list what you haven't considered, or play the difficult customer
- The learning accelerator — "explain [anything] like I'm smart but new to it, with a Kenyan business example"
The two rules that keep you safe
One: AI states falsehoods with total confidence — verify every fact, figure, law and name before it leaves your hands, especially anything Kenya-specific, where training data is thinnest. Two: never paste in what you can't afford to leak — customer lists, ID numbers, passwords, sensitive financials. Treat the chat box like a consultant you haven't signed an NDA with.
Build the habit in one week
Pick your single most annoying recurring task — usually a document or message type you write weekly. Use AI for it five days in a row, saving your best prompt as a template. By Friday you'll have a reusable asset and the instinct to spot the next ten tasks. That instinct, not any tool, is the actual advantage.
